Not Forgotten Systems (ABN 93 689 926 707) ("Not Forgotten", "we", "us") provides an AI-powered quote follow-up service for trade and service businesses on a subscription basis ($199/month + $99 setup).

This Privacy Policy explains how we handle personal information. We've written it in plain English because the business owners who trust us with their data deserve to understand what we do with it.

1. Who We Are

Not Forgotten Systems helps trade and service businesses follow up on quotes they've sent to their customers. When a plumber, electrician, painter, or other tradesperson sends a quote and doesn't hear back, we help make sure that opportunity isn't forgotten.

In providing this service, we handle two categories of personal information:

We are an Australian company. Our service is hosted on infrastructure in Australia and the United States. Where data leaves Australia, we take steps to ensure it remains protected.

Important: Quote PDFs may contain additional personal information about the customer such as their full street address, ABN (if a business customer), or specific property details. We extract only the information needed for follow-up and do not retain the full PDF longer than necessary for processing.

Information from email opens

When we send follow-up emails to our clients' customers, we include a tiny invisible image (a tracking pixel) that tells us whether the email was opened. We collect:

We do this so our clients know whether their follow-up messages are being seen. This helps us improve our service and reporting.

Note: Email open tracking is not perfectly accurate. Some email systems (like Apple Mail and Microsoft Outlook) pre-load images or block them entirely, which means we may not detect every open. We present open data as directional rather than definitive.


3. How We Use Information

We use personal information for the following purposes, and only for these purposes:

  1. Providing our core service — following up on quotes sent by our clients to their customers. This includes sending follow-up emails, tracking responses, and reporting on engagement.
  2. Improving our service — analysing patterns in quote follow-up to improve our approach. This analysis is done at an aggregate level where possible.
  3. Communicating with our clients — contacting clients about their account, service updates, or new features.
  4. Generating Quote Insights reports — providing our clients with monthly analysis of their quote activity (e.g., "15 quotes sent this month, 8 followed up, 3 converted").
  5. Website analytics — understanding how visitors use our website so we can improve it.

4. AI Processing

We use artificial intelligence to help draft follow-up emails, extract information from quote PDFs, and analyse communication patterns.

When our AI processes data, the information in that specific task (which may include names, business details, quote values, and email content) is sent to our AI providers for processing.

Our primary AI provider is Google (Gemini) in the United States. We may also use other AI services for internal-only tasks that do not involve client-identifiable information.

What this means for your data: When our system processes a quote or drafts a follow-up email, the content of that task is sent to Google's Gemini AI service for processing. Google processes the request and returns a response. We do not send data to AI providers for training purposes, and we do not permit our providers to retain or use your data for their own purposes.

Transparency note: We are committed to transparency about how we handle your data. Our primary AI processing is conducted using Google's Gemini in the United States, which operates under robust data protection frameworks. We ensure that any AI processing involving client data adheres to our strict privacy principles and minimises data exposure.


5. Where Information Is Stored

Our primary operational database is Airtable, a US-based cloud service. Our email is through Google Workspace. Our primary AI processing is conducted using Google Gemini in the United States.

We have chosen these services because they provide the reliability and capability needed to operate our service. Where possible, we select providers who offer data processing agreements that align with Australian privacy requirements.


6. How We Protect Information

We take the security of your information seriously. Here is what we do to protect it:

7. How Long We Keep Information

Current status: We are in the process of implementing automated retention policies. Some data may currently be retained longer than the periods stated above because our deletion processes are not yet fully automated. If you need data deleted, contact us and we will handle it promptly.


8. Your Rights

Under Australian privacy law, individuals have rights regarding their personal information. This applies to both our clients and our clients' customers.

Access

You can ask us what personal information we hold about you. We will provide this within 30 days. Contact us at james@notforgotten.com.au with "Privacy — Access Request" in the subject line, describing what information you're looking for.

Correction

If information we hold about you is incorrect, you can ask us to fix it. Contact us with the details and we will update our records.

Deletion

You can ask us to delete your personal information. We will do so unless we have a legal or contractual obligation to keep it (for example, financial records we're required to retain).

For our clients' customers: if you receive a follow-up email from Not Forgotten on behalf of a trade business and want your information removed, contact us directly or reply to the email. We will process your request and notify the trade business that sent the original quote.

Complaints

If you believe we have not handled your personal information properly, contact us first. We take privacy seriously and will investigate.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.


9. Notifiable Data Breaches

Under the Australian Notifiable Data Breaches (NDB) scheme, if we experience a data breach that is likely to result in serious harm to any individual whose personal information is involved, we are required by law to:

  1. Notify the Office of the Australian Information Commissioner (OAIC) as soon as practicable
  2. Notify affected individuals as soon as practicable, either directly or (if direct notification is not practicable) by publishing a notice on our website

A data breach occurs when personal information held by us is lost or subjected to unauthorised access, use, modification, disclosure, or other misuse.

What we do: We maintain internal procedures for identifying, assessing, and responding to data breaches. If a breach occurs, we will take immediate steps to contain it, assess the risk of serious harm, and notify affected parties where required. We will also take steps to prevent similar breaches in the future.

10. When We Share Information

We share information only in these circumstances:

  1. With our service providers — the third-party services listed in Section 5 that we use to operate our platform. These providers process data on our instructions and are not permitted to use it for their own purposes.
  2. With our clients — the trade businesses who use our service. They receive reports about their own quote activity, which may include their customers' names and contact details (information the client already has from the original quote).
  3. When required by law — if we receive a valid legal request from an Australian authority, we may need to disclose information.
  4. With your consent — if you ask us to share information with someone else.

11. Cookies and Tracking

Our website

Our website at notforgotten.com.au uses Google Analytics, which places cookies in your browser to understand how visitors use the site. These cookies collect anonymised information about pages visited, time on site, and referral sources. They do not identify you personally.

You can disable cookies in your browser settings. The website will still work.

Email tracking

As described in Section 2, our follow-up emails include a tracking pixel that tells us whether an email was opened. This is a tiny (1×1 pixel) invisible image. When the email is opened and images are loaded, our server records the open event.

This tracking is part of the service we provide to our clients — it helps them know whether their follow-up messages are being seen. If you prefer not to be tracked, most email programs allow you to disable automatic image loading.


12. Children's Privacy

Our service is designed for business-to-business use. We do not knowingly collect personal information from children under 16. If we become aware that we have collected information from a child, we will delete it.

We will update this policy as our service evolves and as privacy requirements change. When we make material changes, we will notify our clients by email.
